Team Success Administrator

The Team Success Administrator will be primarily responsible for ensuring the achievement of our collective team goals and objectives. You’ll be involved in managing administrative tasks, optimizing team workflows, and ensuring seamless communication within the team. The ideal candidate will be detail-oriented, able to manage and juggle multiple tasks at one time, proactive, and capable of working in a fast-paced, collaborative environment.
Key Responsibilities:
Team Coordination: Assist in organizing team meetings, scheduling, and tracking team performance metrics. Ensure smooth communication and coordination across departments to meet project deadlines.
Accounts Payable: Assist in entry of accounts payable invoices into ERP system. Communicate with vendors on the status of payments. Review vendor statements for missing invoices.
Customer Payment Collections: Initiate email and phone communications to business customers inquiring on the status of payments. Maintain the A/R Action List of customer invoices past due and collection status.
Travel Coordination: Book travel arrangements for employees.
Reception: Receive guests, answer phones, manage incoming and outgoing mail, assist in report and presentation preparation. Maintain organization of office and breakroom.
Documentation and Reporting: Maintain records of team activities, performance reports, and key initiatives. Prepare regular reports on team progress, challenges, and achievements for leadership review.
Onboarding and Training: Support the onboarding process for new team members, ensuring they are equipped with the necessary tools and resources.
Process Improvement: Assist in identifying inefficiencies and suggesting improvements to streamline team processes.
Event and Activity Planning: Organize team-building events, workshops, and other team-oriented activities aimed at fostering a positive work culture.
Resource Management: Coordinate the allocation of resources (software, tools, and supplies) to the team, ensuring they have the necessary support for optimal performance.
Team Communication: Act as a liaison for internal communication, facilitating team discussions, feedback sessions, and ensuring team alignment with organizational goals.
Problem Solving: Address team concerns and issues, escalating where necessary to ensure quick resolutions and maintaining morale.
Information Management: Seek out opportunities to become knowledgeable and proficient on all software and platforms including Bluebeam, MS 365 Suite, Apple devices, Trimble and any other project management software required by J.H. Hassinger Inc. or our clients/partners.
Business Development: Serve as an Ambassador for J.H.Hassinger, diplomatically and professionally working with peers, partners, trades, clients, consultants and engineers.

Requirements
• Bachelor's degree, vocational training, certification from an accreditation organization, or combination of schooling and relevant work experience
• Valid Driver's License and ability to meet commercial insurance requirements
• Ability to lift, carry or hold 26-50 lbs. more than 10 times per day
• Ability to perform low posture, crouching, crawling, kneeling or squatting activities
• Ability to work occasional weekends, evenings and holidays
• Ability to clearly communicate with others and convey information effectively
• Ability to use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems
• Ability to manage own time and the time of others
• Ability to motivate, develop and direct people
• Knowledge of commercial construction materials, means and methods, and equipment preferred
• Knowledge of business and management principles involved in strategic planning, resource allocation, leadership techniques, and coordination of people and resources preferred
